Refund & Return Policy

Commercial policies governing payments, cancellations, deliverables, and refunds across all CoreAxis Technology and Growth services.

This Refund & Return Policy ("Policy") sets forth the commercial terms, cancellation rules, and refund standards governing all services provided by CoreAxis Growth LLC ("CoreAxis", "we", "us", or "our").

CoreAxis operates as a digital strategic partner delivering two primary capability pillars: Technology Services (custom software engineering and systems architecture) and Growth Services (digital marketing, creative strategy, campaigns, and retention systems). By engaging CoreAxis, approving a project proposal or Statement of Work (SOW), or submitting payment for any service, you acknowledge and agree to the terms established in this Policy.

1. Overview & Scope of Services

This Policy applies comprehensively to all professional services, technical deliverables, and strategic solutions provided by CoreAxis to commercial clients ("Client", "you", or "your").

Our offerings encompass two core pillars of capability:

Technology Services

  • Website Development (business websites, high-performance landing pages, corporate and marketing sites)
  • Web Applications (bespoke web platforms, customer and client portals, SaaS products, interactive operational dashboards)
  • Mobile Applications (native and cross-platform iOS and Android applications, mobile MVPs)
  • Custom Business Software (CRM systems, internal operations platforms, database architectures, workflow automation systems)
  • AI Integration (practical AI assistants, machine learning workflows, intelligent data pipelines, automated operational features)

Growth Services

  • Social Media Strategy (brand positioning, channel planning, audience segmentation, distribution roadmaps)
  • Content & Creative (creative direction, advertising copywriting, visual assets, video frameworks, promotional collateral)
  • Paid Campaigns (multi-channel campaign architecture, audience targeting, conversion tracking, ongoing media optimization)
  • CRM & Retention (lifecycle marketing, automated onboarding journeys, email/SMS drip workflows, re-engagement funnels)
  • Custom Growth Engagements (bespoke strategic advisory scoped around specific client goals, channels, and market requirements)

Governing Principle

  • Throughout this Policy, the term "Services" applies universally to all CoreAxis engagements. Where rules apply specifically to engineering deliverables or marketing campaigns, they are designated as "Technology Services" or "Growth Services" respectively.
  • This Policy serves as the standard commercial baseline. If an authorized, signed Project Agreement, Statement of Work (SOW), Growth Agreement, or Master Services Agreement (MSA) explicitly establishes different cancellation, milestone, billing, or refund terms, those specific written terms shall control for that engagement to the extent stated therein.

2. Nature of Services & No Physical Returns

CoreAxis is a specialized technology engineering and digital growth agency. All deliverables and solutions provided by CoreAxis consist exclusively of custom software development, cloud infrastructure setup, strategic consulting, creative content production, and digital campaign execution.

CoreAxis does not manufacture, inventory, sell, or ship tangible physical goods. Consequently, traditional retail return concepts—including return shipping, physical merchandise inspections, return merchandise authorizations (RMA), and restocking fees—do not apply to any CoreAxis engagement.

All transactions represent professional service contracts and digital deliverables. Financial recourse, cancellations, and fee adjustments are governed strictly by the contractual service terms set forth herein.

3. Client Approval & Commencement of Work

CoreAxis allocates dedicated engineering, design, and strategic personnel to each client engagement. To ensure operational alignment and resource commitment, work begins after the Client has approved the applicable scope and CoreAxis has received any payment required to commence that service under the applicable agreement.

Once work has commenced, fees attributable to that commenced work are strictly non-refundable.

Client authorization to initiate work may be provided via signed contract, written Statement of Work, digital agreement acceptance, formal email confirmation, or remittance of an initial invoice, deposit, or retainer payment.

Because CoreAxis immediately reserves specialized technical talent, expends professional labor, and structures operational capacity upon commencement, clients do not have a unilateral right to cancel commenced work and obtain a refund for hours or resources already committed.

4. Technology Services

Technology Services—including Website Development, Web Applications, Mobile Applications, Custom Business Software, and AI Integrations—are typically delivered through structured technical stages, architectural phases, or milestones defined in the applicable Project Agreement.

Commercial terms governing Technology Services include:

  • Commenced Engineering Work: Once architectural planning, UX/UI design, database modeling, infrastructure setup, or software coding has begun following Client approval, all fees allocated to that commenced phase or milestone are non-refundable.
  • Mid-Project Cancellation: If the Client elects to terminate or cancel a technology project prior to final deployment or launch, payments made for commenced or completed phases remain non-refundable. Furthermore, all engineering hours, technical work, and unbilled milestones performed up to the effective date of cancellation remain fully payable by the Client.
  • Source Code and Asset Handover: Delivery, licensing, deployment, or repository transfer of custom software source code, database architectures, and design files is strictly conditioned upon receipt of full payment of all outstanding invoices and project balances.
  • No Retrospective Milestone Disputes: Approval of an interim technical phase, visual design sign-off, staging deployment, or milestone deliverable confirms client acceptance of that deliverable. Subsequent changes of mind or revisions to previously approved work do not entitle the Client to a refund.

5. Growth Services

Growth Services—including Social Media Strategy, Content & Creative, Paid Campaigns, CRM & Retention, and custom growth engagements—represent strategic advisory, creative production, audience modeling, and operational marketing execution.

Clients acknowledge that Growth Services are fundamentally distinct from software development milestones. Growth workflows involve iterative market testing, creative asset design, messaging frameworks, campaign execution, and strategic consulting. Fees paid for Growth Services compensate CoreAxis for professional time, dedicated creative and analytical labor, campaign management, and proprietary methodology.

Growth engagements are governed by the specific service agreements established for each client, categorized as either one-time strategic projects or recurring monthly growth retainers.

6. One-Time Engagements & Deliverables

For one-time or fixed-scope projects across both Technology (e.g., a standalone website build or specific systems integration) and Growth (e.g., a comprehensive brand strategy sprint, funnel architecture setup, or CRM migration):

  • Once agreed work begins following Client approval, the applicable fee or initial payment is non-refundable.
  • Work already performed by CoreAxis up to the time of any cancellation request remains strictly non-refundable.
  • If a Client cancels midway through a one-time engagement, CoreAxis shall not issue a refund for commenced or expended resources, and the Client remains responsible for paying all documented work completed up to the cancellation notice.
  • Delivered strategy documents, creative assets, marketing collateral, campaign setups, CRM workflows, technical configurations, or completed project deliverables are final and non-refundable upon delivery or publication.
  • Any external costs, third-party platform fees, or media spend incurred on behalf of the Client during the engagement are entirely non-refundable.

7. Recurring Services & Monthly Growth Retainers

Recurring Growth Services, campaign management, social media execution, ongoing CRM optimization, and dedicated monthly engineering retainers operate on a recurring billing cycle (typically monthly).

Commercial terms governing recurring service retainers are as follows:

Cancellation Notice Period

  • The Client may cancel recurring services at any time by providing at least seven (7) calendar days’ written notice prior to the next scheduled billing date.
  • Written notice must be submitted via email to the Client’s primary CoreAxis account contact or our official billing address.

Effective Date of Cancellation

  • Cancellation takes effect at the conclusion of the already-paid billing period. CoreAxis will continue providing the agreed services and campaign management through the end of that active billing period.

Active Billing Periods Are Non-Refundable

  • Once a monthly or recurring billing period has commenced, the payment for that active period is strictly non-refundable.
  • CoreAxis does not offer mid-cycle prorated refunds, partial-month credits, or retrospective discounts for cancellations requested after a billing cycle has begun.

Prior Services Non-Refundable

  • Work performed, strategic advisory delivered, campaigns managed, and creative assets produced during prior or active billing cycles remain non-refundable.
  • Committed advertising budgets, third-party software seat licenses, and platform costs incurred during the active billing period remain entirely non-refundable.

8. Advertising Budget & Third-Party Media Spend

For clients utilizing Growth Services that encompass paid advertising campaigns, CoreAxis strictly distinguishes between two separate financial categories:

A. CoreAxis Service & Management Fees

  • Fees paid directly to CoreAxis for campaign strategy, audience research, creative copywriting, visual design, tracking architecture, ad setup, continuous optimization, and analytics reporting. These represent professional service fees and are governed by the non-refundable terms set forth in this Policy.

B. Direct Advertising & Media Budgets

  • Funds allocated directly to third-party advertising networks, including but not limited to Meta (Facebook & Instagram), Google Ads (Search, YouTube, Display), TikTok Ads, LinkedIn Ads, X (Twitter), and programmatic ad exchanges.
  • Advertising budgets are paid directly by the Client to the respective ad networks via the Client’s linked payment methods, or remitted to CoreAxis as a segregated pass-through media budget where agreed in writing.
  • CoreAxis does not retain advertising spend as agency revenue. Once advertising or media spend has been committed or spent with the relevant advertising platform, CoreAxis cannot guarantee, issue, or provide a refund of those amounts. Any refund, credit, or dispute concerning media spend is governed exclusively by the terms, billing policies, and discretionary dispute procedures of the third-party advertising platform.

9. Third-Party Platforms, Tools & Infrastructure

Delivery of modern technology and growth solutions frequently requires independent third-party platforms, tools, and digital infrastructure.

Examples include cloud hosting providers (e.g., AWS, Vercel, Supabase, Firebase), domain registrars, transactional and marketing email services (e.g., Resend, SendGrid), SMS gateways (e.g., Twilio), payment processors (e.g., Stripe), third-party API providers, app store developer accounts (Apple App Store, Google Play Store), and specialized analytics or CRM subscriptions.

All third-party software licenses, developer accounts, server provisioning costs, API usage fees, domain registrations, and platform subscriptions purchased or provisioned for the project are strictly non-refundable once incurred. CoreAxis exercises no operational or financial control over third-party billing policies and cannot recover third-party fees on the Client’s behalf.

10. Completed Deliverables & Non-Refundable Work

Once work has commenced, or a deliverable has been completed, delivered, published, or accepted, the applicable fees are non-refundable.

This non-refundable status applies whether the deliverable is a custom software application, website, database schema, branding package, advertising creative set, marketing campaign roadmap, CRM automation sequence, or consulting deliverable.

A Client’s subsequent internal organizational changes, shift in business priorities, change of leadership, commercial market adjustments, or decision not to deploy or use completed work does not create any right to a refund or release the Client from outstanding payment obligations.

11. Scope Adjustments & Client-Initiated Changes

Each CoreAxis engagement is bounded by the specifications, milestones, and scope articulated in the applicable Project Agreement, SOW, or proposal.

If a Client requests additional features, supplementary modules, alternate creative directions, new marketing channels, or expanded technical integrations that exceed the agreed scope:

  • All out-of-scope work must be evaluated, estimated, and agreed upon through a formal written change order, supplemental quote, or revised Statement of Work before execution begins.
  • If the Client elects not to approve the estimated cost or timeline adjustment for requested out-of-scope work, CoreAxis will continue executing the original agreed scope.
  • A Client’s refusal or decision not to approve additional scope, change requests, or supplemental fees does not entitle the Client to cancel commenced work, receive a refund for existing phases, or withhold payment for work already performed.

12. Post-Launch Bug-Fix Period (Technology Services)

Pursuant to Section 10 of our Terms & Conditions, CoreAxis provides a complimentary sixty (60) day post-launch bug-fix period for custom software and technology development projects, commencing from the date of final delivery, project handover, or public launch.

During this 60-day warranty window, CoreAxis will promptly investigate and correct reproducible defects in code authored by CoreAxis where delivered features do not operate substantially in accordance with the agreed specifications.

The 60-day bug-fix period is strictly a technical repair and warranty remedy. The identification or remediation of a software bug during or after this period does not constitute a failure of consideration, a breach of contract, or grounds for a retroactive refund of project fees.

As established in our Terms, the warranty excludes new feature development, third-party API disruptions, post-delivery operating system or browser updates, and modifications made to the codebase by the Client or third parties.

13. No Guarantees on Growth Performance & Business Outcomes

Consistent with Section 12 of our Terms & Conditions, Growth Services are professional strategic efforts based on creative expertise, market analysis, and digital marketing best practices.

Business results and marketing performance depend on numerous commercial variables entirely outside CoreAxis’s control, including product-market fit, pricing viability, operational fulfillment, customer service responsiveness, brand reputation, competitor campaigns, macroeconomic trends, and third-party advertising algorithm updates.

Accordingly, CoreAxis explicitly disclaims and does not guarantee specific commercial outcomes, including but not limited to:

  • Gross or net revenue targets, sales volumes, or business profit margins
  • Specific lead generation volumes, cost per lead (CPL), or customer acquisition costs (CAC)
  • Social media follower counts, viral reach, impression volumes, or engagement rates
  • Website traffic metrics, click-through rates (CTR), or conversion percentages
  • Return on Advertising Spend (ROAS) or specific advertising yields
  • Organic search engine rankings (SEO) or advertising placement positioning

Performance Acknowledgment

  • Payments for Growth Services compensate CoreAxis for strategic analysis, creative production, campaign management, and operational execution. The non-achievement of a subjective expectation, speculative financial projection, or target commercial metric does not constitute a defect in service, a breach of contract, or a valid basis for a refund request.

14. Client Delays & Inactive / Dormant Projects

Efficient project execution requires collaborative communication and timely client participation. CoreAxis projects depend on prompt delivery of required content, brand assets, credentials, feedback, and milestone approvals (as detailed in Section 6 of our Terms & Conditions).

If an active project is delayed, stalled, or placed on hold due to the Client’s failure to provide required assets, feedback, or approvals for more than thirty (30) consecutive calendar days:

  • CoreAxis reserves the right to formally classify the project as dormant or suspended, release reserved personnel to other active engagements, and issue a milestone invoice for all work completed up to that date.
  • Fees paid for commenced, completed, or scheduled phases of a dormant project are strictly non-refundable.
  • Reactivating a project that has been dormant for more than sixty (60) days may require a project realignment review, revised delivery schedule, and an administrative reactivation fee based on current team capacity.

15. Discretionary Exceptions & Refund Processing

CoreAxis may, at its sole discretion, issue a partial or full refund in exceptional circumstances. Any such refund is voluntary and does not create an obligation or precedent for future engagements.

An exceptional refund may be considered only where CoreAxis is unable to commence agreed services due to unforeseen operational incapacity, or where both parties mutually execute a formal written separation agreement establishing tailored settlement terms.

Where a voluntary refund is authorized by CoreAxis management:

  • Method of Refund: Refunds will be issued strictly to the original payment method (e.g., credit card, debit card, or bank transfer) used for the initial transaction. CoreAxis cannot issue refunds to alternative third-party accounts or unverified recipients.
  • Processing Timeline: Once approved in writing, CoreAxis will initiate the refund within five to ten (5–10) business days. The actual appearance of funds in your account depends on the processing rules and settlement cycles of your card issuer, banking institution, or payment gateway (typically 5–10 additional business days).
  • Deductions: Any voluntary refund shall be net of unrecoverable third-party payment processing fees, non-refundable platform costs, and direct expenses incurred prior to the settlement date.

16. Billing Inquiries, Dispute Resolution & Contact

CoreAxis is committed to professional, transparent business relationships. If you have an inquiry, clarification, or concern regarding an invoice, payment calculation, or project deliverable, we encourage you to contact our billing and project management team immediately.

In the event of any billing controversy or service dispute, the parties agree to first attempt to resolve the matter in good faith through direct executive discussions (consistent with Section 20 of our Terms & Conditions) before initiating formal legal proceedings or merchant chargebacks.

Nothing contained in this Policy or our dispute resolution procedures is intended to prohibit, restrict, or waive any statutory, regulatory, payment-network, or other non-waivable legal rights that a Client may hold under applicable law.
